Phase 1: Initial Assessment & DNS Access

Access the 123-reg DNS account (details from Simon at TIC Design).

Confirm control panel access for arrowinteriorservices.co.uk.
Phase 2: Remote Session (4:00 PM)

Remote into Debra’s computer to:

Record existing email server settings (POP/IMAP).

Collect Debra’s email login credentials.
-

Request login credentials for Damien’s mailbox (also scheduled for migration).
📅 Thursday
Phase 3: Domain Setup & Mailbox Configuration

Add and verify arrowinteriorservices.co.uk in the Microsoft 365 tenancy.
-
Create three user mailboxes.
-
Configure Microsoft Migration Assistant to begin syncing Debra and Damien’s email from the old provider.
Phase 4: Distribute Login Credentials

Send Outlook Web Access (OWA) login credentials to all users in the afternoon.
-
Ensures access to new mailboxes during DNS changeover.
-
Prevents missing emails during the transition window.
-
Phase 5: Evening DNS Cutover
-
Update MX, SPF, Autodiscover, and other relevant DNS records to point to Microsoft 365.

Confirm mail flow begins routing to Microsoft.

Phase 6: Remote Session & Final Setup

Remote sessions with users to:

Complete configuration of email accounts in Outlook.

Decide whether to keep old accounts in Outlook during transition.

Can be removed during the session or later manually.

Optional follow-up next week for assistance.

Phase 7: Calendar & Address Book Review

Export any company calendars or address books as needed.
Phase 8: Best Practices & Security

Finalise Microsoft 365 settings:

Microsoft Migration Assistant will continue syncing from legacy mailboxes every 24 hours for up to 7 days.

Users who remove their old accounts early will still receive updates from any messages that come in late.
